09 CHILDCARE PRACTICE PROCEDURES.

ADAPTED FOR HAMILTON PRE-SCHOOL

 

WE ARE REGISTERED TO TAKE CHILDREN AGED 3 AND 4 YEARS. WE ARE A FUNDED ONLY PRE-SCHOOL WHICH RUN TERM TIME ONLY (38 WEEKS) WE TAKE THE 15 UNIVERSAL HOURS AND 30 HOURS FOR WORKING PARENTS.

PARENTS/CARERS CAN PAY FOR EXTRA HOURS AFTER THEY HAVE USED THEIR UNIVERSAL/FUNDED HOURS.

 

WE OFFER SESSIONAL CARE INCLUDING BREAKFAST CLUB AND LATE STAY CLUB.

OUR SESSION HOURS ARE: 

MORNINGS 9AM TO 12 NOON

AFTERNOON 12.30PM TO 3.30PM

ALL DAY 9AM TO 3PM.

BREAKFAST CLUB STARTS AT 8AM 

LATE STAY CLUB RUNS FROM 3/3.30 TO 5PM.

 

 

09.1 WAITING LIST AND ADMISSIONS

We aim to ensure that all sections of the community and beyond receive accessible information, and that our admissions procedures are fair, clear and open to all parents/carers who apply for a place.

 

. The setting is widely advertised in places accessible to all sections of the community and beyond.

 

. Information about the setting is accessible, using plain English, in written and available in spoken form and where appropriate provided in different community languages and other formats on request.

 

. Children with disabilities are supported to take full part in all activities within the setting and the setting makes reasonable adjustments to ensure that this will be the case from the time the child is placed on the waiting list.

 

. THE WAITING LIST IS ARRANGED BY THE FOLLOWING.

. WE HAVE ONE INTAKE EVERY YEAR (SEPTEMBER) IF THERE ARE SPACES AFTER THE SEPTEMBER INTAKE, WE WILL THEN OFFER SPACES IN JANUARY OR APRIL.

 

. You may add your child’s name onto our wait list from the day that they have been born.

. Child’s name can only be added to wait list for the September year of that child’s 3rd birthday (child’s 3rd birthday has to be before 31st August). We will only take admissions for wait list via email or through pre-school’s website page. We will not take information via telephone or in person Their information will then go behind the last name added for that year. (E.g September 2024 start, a child’s name was added on 12th June 2023 then another child’s name was added the following day, that child’s information will be behind the child’s whose name was added on the 12th)

. THE PRE-SCHOOL WILL NEVER GUARANTEE A PLACE AND ALWAYS ADVISE TO PUT THEIR CHILDS NAME DOWN AT OTHER PROVIDERS. This is always stated with the confirmation of child being added to the wait list.

. We will only offer funded places and for term time only. We do not take fee paying but will offer extended hours to families that already have a place at the setting if we have spaces/hours.

. If a parent has been offered a place and they wish to start their child before the funding starts. They will be able to pay for their sessions, but they must pay for all the sessions they have booked in once the funding starts and they must be aged 3 years old.

. We follow early years entitlement operational Guidance for local authorities and providers and any local conditions in place at the time.

. We will only hold a place for emergency admissions if we are able to.

. The setting is welcoming and make it clear that everyone is welcomed.

. The setting operates in a way that encourages positive regard for and understanding of difference and ability whether gender, family structure, class, background, religion, ethnicity or competence in spoken English.

. The needs and individual circumstances of children joining the setting are monitored to ensure that no accidental or unintentional discrimination is taking place and that reasonable adjustments are made as required.

. Section 05 Equality procedures is shared and widely promoted to all.

. Places are provided in accordance with the child care terms and conditions issued to every parent when the child takes up their place. Failure to comply may result in the provision of a place being withdrawn.

ADMISSIONS

A FEE WILL BE CHARGED ONCE YOUR PLACE HAS BEEN CONFIRMED GUARANTEEING THE PLACE, THIS FEE WILL BE THEN USED ONCE THE CHILD STARTS FOR THEIR PAYMENT TOWARDS HEALTHY SNACK.

Letters offering a place to children on our waiting list starts being delivered February before the September starters. Parents/carers return the form stated sessions they would like. Once confirmed by Hamiltons parents/carers are invited in for a visit and meeting and given the welcome pack. There will be play and stay dates organised and home visit dates put in place.

Once a childcare place has been offered and parents/carers have accepted, the relevant paperwork is completed by setting and parents/carers before the child starts and filed. Forms completed.

  1. Terms and conditions, all about me book (this includes consent forms to be part of activities) GDPR, which covers photography, social media platforms.

  2. Personal information which is in the welcome pack.

  3. Illness and on-going illness including medical history.

  4. 2-year progress information.

  5. Collection form including photos of adults permitted to collect their child.

 

WHEN STARTING WITH US:

We have a settling in process for all children but will also work along side working parents/carers if they may struggle with this. We constantly work close with all the children’s families at all times to support the family unit.

 

CHILDREN WITH SEND

. The SEN and the manager must seek to determine an accurate assessment of a child’s needs at registration or in the time frame from registering. If the child’s needs cannot be meet from within the setting and budget, then an application for SEN inclusion funding must be made immediately.

. Children with identified SEND must be offered a place when one becomes available as with any other child. However, the start date will be assessed and supported working together with all relevant persons involved. The well-being and accessibility in the setting of a child’s needs determine that adjustments need to be made by the manager and SEN theymust outline a realistic timeframe for completion, detailing the nature of adjustments for example risk assessment, staff training, healthcare plan and all other adjustments required. The child’s safety at all times is paramount.

. Preparation for admitting a child with SEND must be made in a reasonable amount of time and any delay in the child starting is scrutinised by the setting to avoid discrimination and negative impact on the child and on their family. During a preparation period the family and relevant agencies and local authority must be regularly updated on the progress of the preparation.

 

SAFEGUARDING/CHILD PROTECTION

If information is provided by the parents that a child who is starting at the setting is currently or has had involvement with social care the designated safeguarding officer will contact the agency to seek further clarification.

 

PAYMENTS

RESERVING A PLACE ONCE PLACE HAS BEEN OFFERED: £50.00

SNACK: (PAID FOR THE YEAR) £70.00 (£50.00 DEDUCTED ONCE STARTED, RESERVING FEE)

HOT MEALS: £2.70 A DAY (INVOICED BEFORE EACH TERM STARTS)

DRINKING BOTTLE/ ORAL HEALTH CARE: £10.00 (ONE OF PAYMENT)

OUTINGS: AS AND WHEN THIS TAKES PLACE

OTHER FOOD (CHRISTMAS PARTY) INVOICED FOR THIS BUT WILL BE A SMALL CHARGE

OUTSIDE AGENCIES: DEPENDING ON WHAT WE HAVE AND COSTING

GRASS ROOTS SPORTS TIME: £80.00 FOR SCHOOL YEAR (CAN BE MADE ONE PAYMENT AT START OF THE 1ST TERM OR SPLIT OVER 3 TERMS.)

BREAKFAST CLUB: FOOD: £1.50 A DAY, WILL BE INVOICED THE END OF EACH TERM

LATE STAY CLUB SNACK: £1.00 A DAY, WILL BE INVOICED THE END OF EACH TERM.

UNIFORM: ORDER DIRECT THROUGH UNIFORM COMPANY WE USE.
